Position: Front Office Executive

Experience: 1-3 years in Front Office / Guest Relations

Key Responsibilities:

  • Guest Handling & Check-in/Check-out: Greet and welcome guests with a warm and professional attitude. Handle guest check-in and check-out efficiently, ensuring smooth processes. Verify guest identity, process payments, and provide room keys.
  • Reservation & Booking Management: Manage room reservations via calls, emails, and online booking platforms. Coordinate with the reservations team to update room availability and rates.
  • Guest Relations & Services: Address guest inquiries, requests, and complaints in a professional manner. Assist guests with local information, transportation, and concierge services. Ensure high levels of customer satisfaction and guest retention.
  • Billing & Payment Handling: Process guest payments via cash, credit cards, or online transfers. Prepare invoices and ensure accurate billing. Handle refund and settlement requests as per hotel policies.
  • Coordination with Departments: Liaise with housekeeping and maintenance teams to ensure rooms are clean and well-maintained. Work closely with the F&B and operations teams for seamless guest experiences.
  • Front Desk Operations & Reporting: Maintain a clean and organized front desk area. Update guest records, bookings, and daily check-ins/check-outs. Prepare daily reports for management on occupancy, revenue, and guest feedback.
  • Security & Compliance: Ensure adherence to hospitality standards, policies, and safety protocols. Maintain records of visitors and ensure compliance with security procedures.
  • Technology & Software Usage: Operate hotel management software (PMS) for reservations and check-ins. Use email, telephony, and POS systems for communication and transactions.

Required Skills & Qualifications:

  • Bachelor’s degree / Diploma in Hospitality, Hotel Management, or a related field.
  • 1-3 years of experience in front office operations in hotels, resorts, or serviced apartments.
  • Excellent communication skills (verbal and written) in English and local language.
  • Strong customer service skills with a pleasant personality.
  • Proficiency in MS Office and hotel management software (Opera, IDS, or similar).
  • Ability to handle multiple tasks and work in a fast-paced environment.
  • Well-groomed and professional appearance.
