Job Summary: The Front Desk Executive and Housekeeping Management role at Vivid Emissions Reductions Universal Private Limited involves providing comprehensive front office support, ensuring cleanliness and hygiene standards, and actively contributing to the overall administrative efficiency of the organization. This role requires meticulous attention to detail, excellent organizational skills, and the ability to handle various responsibilities concurrently.
Front Office Management:
- Visitor Reception:
- Provide access to visitors at the reception vestibule and ensure hand sanitization.
- Enquire about visitor appointments and inform the concerned host promptly.
- Office Area Maintenance:
- Maintain a safe and clean reception and office area consistently.
- Greet all visitors and guests professionally.
- Keep and reconcile a comprehensive Visitors’ Register in both hard copy and soft copy (ERP).
- Communication Handling:
- Manage all incoming calls via the EPBX system and arrange outgoing and conference calls.
- Maintain a meticulous log-register for calls, both in hard and soft copies (ERP).
- Document Handling:
- Scan and print documents as required.
- Manage incoming and outgoing official posts, maintaining a log register in both hard and soft copies.
- Email and Attendance Management:
- Promptly respond to all emails during office hours within a 30-minute turnaround time.
- Maintain the attendance register of employees, ensuring reconciliation with HR data.
- Emergency Preparedness:
- Arrange for a doctor in case of emergencies, maintaining a list of emergency numbers.
Office Administrative Assistance:
- Hygiene and Supplies Management:
- Ensure cleanliness and hygiene in washrooms and the entire office.
- Monitor and order consumables promptly to maintain zero supply deficits.
- Vendor Management:
- Prepare cash vouchers for essential supplies vendors, ensuring timely payments.
- Arrange Zoom calls for various departments and maintain logs in hard and soft copies.
- Support Staff Oversight:
- Manage office boy/support staff, ensuring adherence to responsibilities.
- Arrange daily lunches, manage cleanliness of crockery/cutlery, and address employee complaints.
- Record Keeping:
- Maintain records of inward and outward courier, stationery, and other essential supplies.
- Conference Room and Asset Management:
- Book and manage conference rooms efficiently.
- Assist in tagging and coding newly procured company assets.
- Budget Assistance:
- Assist the admin department in managing budgets and ensuring cost-effectiveness.
Streamlining Ingress and Egress:
- Assist IT and Admin in ensuring new employees receive laptops, email configurations, and seating arrangements promptly.
- Assist HR/IT/Admin teams when required.
ERP Participation and Training:
- Ensure sacrosanct usage of SAP Business One.
- Undergo regular training and assessments for functional knowledge related to SAP Business One.
