Job Summary:
We are seeking a highly organized and customer-focused Office Executive to join our team at the clinic. The successful candidate will be responsible for managing the daily operations of the clinic, ensuring exceptional customer service, and maintaining the highest standards of hospitality.
The Office Executive will act as the effective interface between the Clients and Therapists/staff(s)/management in scheduling the time-slots. The Office Executive will also be responsible for identifying new business opportunities, building relationships with potential clientโs/ business partners, for which career growth opportunities are assured in co-ordination with the marketing group of the institution.
Key Responsibilities:
- Front Desk Operations: Perform administrative tasks like managing the front desk, including scheduling time slots, room assignments, data entry, maintaining records etc.
- Customer Service: Provide exceptional customer service, responding to inquiries, resolving issues, and ensuring effective interface between the Clients and Therapists/staff(s)/management to attain highest standards.
- Operational Management: Manage the daily operations of the clinic, including staffing, budgeting, and resource allocation. Communicate effectively with clients, colleagues, and management, both verbally and in writing.
- Client Relationships: Build and maintain strong relationships with potential and existing clients to understand their needs and provide solutions.
- Quality Improvement: Develop and implement quality improvement initiatives to enhance patient outcomes, patient satisfaction, and staff engagement.
- Cash Handling: Handle cash, credit card transactions, and operate the point-of-sale system.
- Security: Ensure the security and confidentiality of guest information, credit card details, and cash handling procedures.
- Business Development: Identify new business opportunities through research, networking, and lead generation. Stay up-to-date with industry trends, competitors, and market developments to identify new opportunities for institutional as well as own career growth.
- Marketing Campaigns: Assist in developing and implementing marketing campaigns across various channels, including social media, email, and events.
- Social Media Management: Manage and maintain the company’s social media presence, including creating and scheduling posts, responding to comments, and analysing engagement metrics.
- Content Creation: Assist in creating marketing content, including blog posts, email newsletters, and marketing materials.
- Sales Strategy: Develop and execute sales strategies to achieve revenue targets and expand the company’s customer base. Meet and exceed sales targets, and maintain accurate records of sales activities, pipeline, and forecasting.
Requirements:
- Education: High school diploma or equivalent required; hospitality certification or degree preferred.
- Experience: 1-2 years of experience in a front office or customer service role, preferably in a hospitality environment. Fresherโs with required capabilities and career goals also welcomed.
- Skills: Excellent communication, interpersonal, and problem-solving skills. Ability to work under pressure, prioritize tasks, and maintain attention to detail.
- Software Proficiency: Microsoft Office, basic internet and social media networking.
