Key Responsibilities and Duties:

  • Handling Reservations:
    • Knowledge of Hotel PMS software for booking and inventory
    • Take incoming reservation requests via phone, email, or online booking systems.
    • Process reservations accurately and promptly, ensuring that all details are correctly entered into the hotel’s reservation system.
    • Confirm reservation details with guests, such as check-in/check-out dates, room types, and special requests.
  • Customer Interaction and Support:
    • Provide information to guests regarding hotel rates, room availability, and services.
    • Handle guest inquiries, including those related to availability, room features, or special packages.
    • Provide a personalized and friendly service to encourage repeat business.
  • Managing Room Availability:
    • Monitor and update room availability in the system to prevent overbooking.
    • Coordinate with front desk and housekeeping to ensure accurate room status.
  • Processing Cancellations and Modifications:
    • Handle cancellations, changes to reservations, and special requests in accordance with hotel policies.
    • Update the reservation system and notify relevant departments about changes.
  • Handling Group Reservations:
    • Assist with group bookings, including corporate clients, weddings, and other events.
    • Coordinate with other departments to ensure group bookings are efficiently managed.
  • Upselling Services:
    • Promote special offers, room upgrades, or additional services (e.g., spa, dining, or transport) to guests.
  • Guest Communication and Follow-Up:
    • Send pre-arrival emails to guests, confirming details and offering additional services.
    • Follow up with guests after their stay to ensure satisfaction and encourage feedback.
  • Maintaining Reports and Records:
    • Keep accurate records of bookings, cancellations, and no-shows.
    • Prepare daily, weekly, or monthly reports on reservation activities, occupancy, and revenue.
  • Collaboration with Other Departments:
    • Work closely with the front desk, housekeeping, and sales teams to ensure smooth operations.
    • Communicate any special guest requests or issues that require attention.
  • Ensure Adherence to Policies:
    • Ensure that all reservations are in compliance with the hotel’s policies regarding payment terms, cancellation policies, and booking rules.
    • Verify guest details, including payment methods and identification if needed.
  • Use of Reservation Software:
    • Operate the hotel’s reservation software or Property Management System (PMS) to input and manage bookings.
    • Stay updated on the software features and help implement improvements if necessary.

Skills and Qualifications:

  • Communication: Excellent written and verbal communication skills.
  • Customer Service: Strong ability to handle customer inquiries and provide exceptional service.
  • Attention to Detail: Ensuring accurate entries in the reservation system and ensuring no overbooking or errors.
  • Multitasking: Ability to handle multiple inquiries and reservations simultaneously.
  • Problem-Solving: Quickly resolving booking issues and guest complaints.
  • Technical Skills: Familiarity with reservation systems (e.g., Opera, Amadeus) and Microsoft Office Suite.
  • Languages: Proficiency in multiple languages can be an advantage for international hotels.
  • Experience: Previous experience in hospitality or reservations is often preferred, but training is provided for the right candidate.

Working Hours: The role may require working in shifts, including evenings, weekends, and holidays, as hotels operate 24/7.
