Job Summary: We are looking for a personable and organized Front Desk Executive to be the welcoming face of our clinic. The ideal candidate will manage client interactions, maintain records, handle calls, oversee inventory, ensure cleanliness, and enhance the overall client experience.
Key Responsibilities:
- Client Reception: Warmly greet and welcome clients upon arrival, ensuring they feel comfortable and valued.
- Appointment Management: Schedule, confirm, and manage client appointments, coordinating with medical staff to optimize clinic operations.
- Record Maintenance: Accurately maintain and update client records, ensuring confidentiality and compliance with data protection regulations.
- Communication Handling: Answer incoming calls, respond to client inquiries, and make outbound calls to clients for appointment reminders and follow-ups.
- Inventory Management: Monitor and manage inventory levels of office and clinic supplies, placing orders as necessary to ensure seamless operations.
- Client Experience Oversight: Monitor and enhance the client experience, ensuring all clients feel pampered and satisfied with their visit.
- Facility Cleanliness and SOP Compliance: Ensure the reception area and clinic facilities are clean, organized, and adhere to standard operating procedures (SOPs) for hygiene and safety.
- Client Assistance: Provide clients with information about services, procedures, and pricing, assisting them as needed during their visit.
- Client Pampering: Ensure clients receive exceptional service, offering refreshments and addressing any special requests to enhance their comfort.
- Administrative Support: Assist with administrative tasks such as data entry, filing, and managing correspondence to support clinic operations.
- Team Collaboration: Work closely with medical and administrative staff to ensure seamless client experiences and efficient clinic operations.
- Feedback Collection: Gather client feedback to identify areas for improvement and implement necessary changes to enhance service quality.
Qualifications and Skills:
- Educational Background: High school diploma or equivalent; a bachelor’s degree in hospitality, business administration, or a related field is preferred.
- Experience: Minimum of 6 months in a front desk or customer service role, preferably in the aesthetics, healthcare, or hospitality industry.
- Communication Skills: Excellent verbal and written communication skills in English; proficiency in Hindi is preferred.
- Interpersonal Skills: Strong interpersonal skills with a friendly and approachable demeanor.
- Organizational Skills: Exceptional organizational and multitasking abilities, with attention to detail.
- Tech Proficiency: Proficiency in using office software (e.g., Microsoft Office Suite) and familiarity with scheduling and CRM systems.
- Problem-Solving: Ability to handle client concerns professionally and efficiently, finding effective solutions.
- Appearance: Professional appearance and adherence to clinic dress code standards.
- Flexibility: Willingness to work flexible hours, including weekends or evenings, if required.
- Customer Service Orientation: A genuine passion for providing exceptional customer service and enhancing client satisfaction.
