Job Title: Front Office & Admin Executive

Job Summary: The Front Office & Admin Executive is responsible for managing the front desk operations, ensuring smooth office administration, and providing support for daily business activities. This role requires excellent communication skills, a welcoming attitude, and strong organizational abilities to handle administrative tasks efficiently.

Key Responsibilities:

  • Front Office Management:
    Greet and assist visitors, clients, and employees professionally.
    Manage incoming calls, emails, and messages; direct them to the appropriate department.
    Maintain a clean and organized reception area.
    Coordinate courier services and handle incoming/outgoing mail.
  • Administrative Support:
    Maintain office supplies inventory and place orders as needed.
    Assist in scheduling meetings, conference calls, and appointments.
    Handle vendor coordination for office-related supplies and services.
    Ensure proper documentation and record-keeping of office activities.
  • Facility & Office Management:
    Oversee office cleanliness and coordinate with housekeeping staff.
    Ensure office equipment (printers, telephones, etc.) is in working order.
    Coordinate travel arrangements and accommodations when required.
  • HR & Employee Support:
    Maintain attendance and leave records as required.
    Assist in organizing office events, training sessions, and celebrations.
    Support new employee onboarding by coordinating desk setup and office access.

Requirements:

  • Bachelor’s degree in Business Administration or a related field.
  • 2 years experience in the same field.
  • Proficiency in MS Office (Word, Excel, Outlook) and office management tools.
  • Strong verbal and written communication skills.
  • Excellent organizational and multitasking abilities.
  • Professional appearance and a customer-focused approach.

Preferred Skills:

  • Experience in handling vendors and facility management.
  • Knowledge of basic HR processes like attendance tracking.
  • Ability to handle confidential information with discretion.
  • Ability to contribute in marketing and tele calling.
