Front Office Patient Care Coordinator

The Front Office Patient Care Coordinator is responsible for managing the front desk operations, providing excellent customer service, and ensuring smooth and efficient patient flow within a healthcare facility. The role requires effective communication with patients, families, and healthcare professionals to facilitate appointments, patient check-ins, and general administrative support. This position plays a key role in creating a positive first impression of the facility and ensuring a smooth experience for patients from arrival to departure.

Key Responsibilities:

  • Patient Reception and Check-in:
    Greet patients and visitors warmly, making them feel comfortable and welcome.
    Verify patient information (demographics, insurance, etc.) and ensure the accuracy of records.
    Assist patients with completing necessary paperwork or documentation.
  • Appointment Scheduling:
    Schedule patient appointments and provide reminders for upcoming visits.
    Coordinate with medical staff to ensure accurate and timely appointment scheduling.
    Manage cancellations, rescheduling, and follow-up appointments.
  • Insurance Verification and Billing:
    Collect insurance information and verify eligibility and coverage.
    Assist with billing inquiries and ensure that all relevant billing information is correctly documented.
    Work closely with the billing department to resolve any discrepancies.
  • Communication:
    Answer phone calls promptly and professionally, addressing patient inquiries or directing them to the appropriate department.
    Relay messages between patients and healthcare providers.
    Handle patient concerns or complaints in a timely, efficient, and compassionate manner.
  • Administrative Support:
    Maintain an organized front office, ensuring that patient records and documents are accurately filed and readily accessible.
    Assist with maintaining inventory for office supplies and medical forms.
    Prepare and maintain patient files, ensuring confidentiality and compliance with HIPAA regulations.
  • Patient Flow Management:
    Ensure that patients are promptly checked in and escorted to the appropriate waiting areas or examination rooms.
    Monitor patient wait times and communicate any delays or issues to patients in a respectful and timely manner.
  • Collaboration and Teamwork:
    Collaborate with medical staff, nurses, and other administrative personnel to ensure a smooth workflow and efficient operations.
    Work with the medical office team to handle special requests and ensure that patient care needs are met.
