Job Description: A front office executive manages the front desk and reception area of an office. They are the first point of contact for clients and visitors, and are responsible for creating a positive impression of the company.
Key Responsibilities:
- Welcoming visitors and directing them appropriately
- Answering and screening phone calls, taking messages, and redirecting calls
- Scheduling meetings, appointments, and events
- Sorting and distributing incoming mail, and managing outgoing mail
- Maintaining records of office expenses, visitor logs, and employee inquiries
- Addressing and resolving client issues and complaints
- Preparing regular reports on front office operations
- Ordering office supplies
- Providing excellent customer service
- Helping to improve the efficiency of the office
- To provide audiological assessment and appropriate management intervention
Requirements:
- Excellent verbal and written communication to interact effectively with guests, clients, and colleagues.
- A focus on providing exceptional customer service and maintaining a positive and welcoming demeanor.
- Ability to manage multiple tasks simultaneously, prioritize effectively, and maintain accurate records.
- Juggling various responsibilities like phone calls, greeting visitors, scheduling appointments, and handling administrative tasks.
- Ensuring accuracy in all tasks and maintaining a professional appearance.
- Ability to quickly identify and resolve issues that arise in the front office
- Familiarity with office software like Microsoft Office to manage documents and emails
- Maintaining a positive and courteous attitude in all interactions
- Depending on the specific role, additional requirements might include:
- For senior front office positions, managing and supervising other staff members
- Knowledge of industry standards: Familiarity with relevant hospitality or business practices
- Depending on the location, ability to communicate in another language
- Previous experience in a customer service role, ideally within a front office environment
- Should be fluent in English & Kannada (Tulu/Malayalam)
