Job Summary: Stokastra, a leading firm, is seeking a dedicated and professional Front Office Executive to be the face of our organization. This pivotal role involves providing comprehensive administrative support, meticulously managing front-desk operations, skillfully assisting with client communications, and ensuring the smooth running of daily office activities. We are looking for an ideal candidate who is not only well-organized and courteous but also exceptionally capable of managing multiple tasks in a fast-paced environment.

Key Responsibilities:

  • Client Interaction & Reception:
    • Greet visitors and clients in a friendly and professional manner.
    • Handle all incoming calls and direct them to the appropriate departments.
    • Maintain a visitor log and ensure that guests are welcomed and attended to.
  • Administrative Support:
    • Assist with managing appointments, meetings, and conference room schedules.
    • Coordinate internal communication and ensure timely dissemination of important information.
    • Organize office supplies and ensure the office environment is clean and orderly.
    • Handle the preparation and distribution of internal communications, memos, and reports.
  • Document Management:
    • Maintain and manage office documentation, including files, records, and forms.
    • Prepare and manage documentation related to client meetings, transactions, and other related activities.
    • Help in the preparation of presentation materials and reports for senior management.
  • Customer Service:
    • Handle inquiries related to Stokastra’s services and direct them to the relevant departments.
    • Provide excellent customer service by addressing client issues and concerns promptly and professionally.
  • Coordination:
    • Act as a liaison between clients and various departments to ensure a smooth workflow.
    • Assist with coordination of events, training sessions, and workshops as required.
    • Support HR and Admin teams with tasks like onboarding new employees, organizing office events, and maintaining attendance records.

Requirements:

  • Bachelor’s degree in Business Administration, Management, or related field (preferred).
  • 2+ years of experience in front office or customer service roles (experience in finance or related industry is a plus).
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong communication and interpersonal skills.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple tasks and prioritize effectively.
  • Positive attitude, professional demeanor, and ability to work in a team environment.
  • Knowledge of stock market operations or investment services is a plus but not required.
