Job Title: Receptionist (Female Candidate Only)

Job Overview: As a Receptionist, you will be the first point of contact for our company. You will be responsible for providing excellent customer service, handling a variety of administrative tasks, and ensuring smooth daily operations of the front office.

Key Responsibilities:

  • Greeting Visitors: Welcome guests as they arrive and direct them to the appropriate person or department.
  • Answering Phones: Answer incoming phone calls, provide information, and route calls to the appropriate staff member.
  • Handling Mail: Sort, deliver, and dispatch incoming and outgoing mail and packages.
  • Scheduling Appointments: Maintain and update appointment schedules for staff, arrange meetings, and confirm appointments.
  • Administrative Support: Assist with office tasks such as filing, data entry, and preparing documents.
  • Maintaining Office Appearance: Ensure the front desk and reception area are clean, organized, and presentable at all times.
  • Customer Service: Address customer inquiries and provide general information or direct them to the correct department.
  • Managing Office Supplies: Track inventory of office supplies and reorder as necessary.
  • Managing the Switchboard: Operate the company’s telephone system and manage multiple lines efficiently.
  • Other Duties: Support other administrative and clerical tasks as needed by management.

Skills & Qualifications:

  • Education: High school diploma or equivalent required; additional certification in office administration is a plus.
  • Experience: Prior experience in a receptionist, customer service, or administrative role is preferred.
  • Communication Skills: Excellent verbal and written communication skills.
  • Organizational Skills: Ability to manage multiple tasks and prioritize effectively.
  • Technology Skills: Proficiency in using office software (e.g., Microsoft Office, Google Suite) and basic office equipment (e.g., phone systems, fax machines).
  • Professionalism: A friendly, approachable demeanor with a professional appearance.

Work Environment: Typically works in an office setting, either in person or at a remote reception desk. Must be able to work at a front desk and handle customer interactions with a positive attitude. May require occasional overtime during busy periods or events.
