Front Desk Executive – Be the face of our company!

We are seeking a skilled Front Desk Executive to provide excellent customer service to our clients, visitors, and employees. This role is crucial for managing the reception area, handling inquiries, directing phone calls, and providing administrative support.

Responsibilities:

  • Greeting and Assisting Visitors: Welcome guests and visitors in a professional and courteous manner. Provide information and assistance as required.
  • Answering and Directing Phone Calls: Manage incoming calls, transferring them to the appropriate departments or individuals. Take messages accurately and ensure they reach the intended recipients promptly.
  • Scheduling Appointments: Coordinate and schedule appointments for clients or visitors with company staff members. Maintain the appointment calendar efficiently.
  • Managing Incoming and Outgoing Mail: Sort and distribute incoming mail and packages. Prepare outgoing mail and packages for shipment using appropriate courier services.
  • Handling Administrative Tasks: Assist with various administrative tasks, including data entry, filing, photocopying, and scanning documents. Provide support to other departments as required.
  • Providing Information and Assistance: Respond to inquiries from clients, visitors, and employees in a timely and accurate manner. Offer assistance and guidance as needed.
  • Maintaining Security and Confidentiality: Monitor the entry and exit of individuals to the premises. Adhere to security protocols and maintain confidentiality of sensitive information.
  • Managing Access Control Systems: Monitor and manage access control systems, ensuring only authorized individuals gain entry to restricted areas.
  • Coordinating Facilities Services: Liaise with facilities management and maintenance staff to address any issues or requests related to office facilities.

Qualifications:

  • High school diploma or equivalent qualification required; additional certification in office administration or related field is a plus.
  • Proven experience in a similar role, preferably in a corporate or professional environment.
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook).
  • Ability to maintain professionalism and composure in fast-paced environments.
