Job Title: Reservation Assistant

Position Summary: The Reservation Assistant is responsible for assisting customers with inquiries, reservations, and changes to existing bookings. They handle administrative tasks related to reservation systems, ensure accurate records, and provide excellent customer service to ensure a positive experience for clients.

Key Responsibilities:

  • Customer Interaction: Respond to customer inquiries via phone, email, or online platforms regarding reservation requests, availability, rates, and other related information.
  • Manage Reservations: Process new reservations and confirm booking details to ensure accuracy. Handle amendments, cancellations, and refunds as necessary.
  • Coordinate with Departments: Liaise with other departments (e.g., front desk, travel agents, event coordinators) to confirm availability and other necessary details.
  • Maintain Records: Keep accurate and up-to-date reservation records in reservation systems.
  • Problem-Solving: Address customer concerns or issues with reservations promptly and professionally.
  • Customer Service: Provide excellent customer service by offering timely responses and ensuring a seamless reservation experience.
  • Assist with Reporting: Generate reports related to reservations, occupancy rates, or booking trends, as needed by management.
  • Update Systems: Ensure reservation systems are updated with accurate pricing, room availability, or event schedules.
  • Promote Offers/Packages: Inform customers about promotions, packages, or discounts to encourage bookings.

Required Skills & Qualifications:

  • Education: High school diploma or equivalent; a degree in hospitality, tourism, business, or related fields is preferred.
  • Experience: Previous experience in customer service, administrative roles, or reservations (hospitality, travel, or event industries) is an advantage.
  • Skills: Excellent communication and interpersonal skills. Proficiency in reservation systems and related software. Attention to detail and organizational skills. Problem-solving ability and adaptability. Ability to work under pressure and manage multiple tasks simultaneously.
  • Technical Skills: Familiarity with booking/reservation systems and Microsoft Office Suite or similar tools.
  • Language Skills: Multilingual abilities are a plus, depending on the customer base.
